Sponsor Forms can be downloaded here. Please give thoughtful consideration to the number of guests you plan to bring to the breakfast, and look over the table captain information. Sponsorship of this event is different than "buying a table" at a typical fundraiser dinner, because all the guests attend at no charge. We encourage you to reach out to include in your guest list people who could be potential supporters of our organization.

December 2011 & January 2012 Invite guests to the breakfast and invite them to a tour of one of the Clubs.

2. Key Things to Remember

  • Do tell people it's a fundraiser (even though the event is free) - It's important that people know in advance that they will be asked to consider making a donation, but that there is no obligation to give.
  • Make it personal - an initial contact in person or by phone is best - then use email or a written note to follow up.
  • Frequency - some guests will need more contact/reminders than others - you know who is most likely to remember or forget.
  • Bring at least 6 guests to a tour - Please invite all your guests to join you on a tour of one of the 3 Clubs before the breakfast, and try to insure that a minimum of 6 attend.
  • Get them all the information they need - Use our brochures, newsletters, and website - www.BeGreatLarimer.org

3. Invitation Script

  • I hope you can join me at my table at the Youth of the Year Breakfast honoring the achievements of the Boys & Girls Clubs of Larimer County Youth of the Year.
  • This is a free fundraiser where you can learn more about the great opportunities the Boys & Girls Clubs offer to the youth of Larimer County.  You will be asked to consider a contribution.  There is no minimum donation expected and also no maximum gift level.
  • The breakfast will be held on Tuesday, Feb. 7 from 7:00 to 8:30 am - breakfast buffet opens at 7, the program begins at 7:30, and the program concludes at 8:30, at the Embassy Suites Hotel at I-25 and Crossroads Blvd.  
  • I would be delighted if you could join me!

4. Additional Tips & Reminders

  • Fill a table of 10 guests, including yourself.  It's fine to overbook to make sure you have a full table at the event.  If more than 9 guests show, we will accommodate them at adjacent tables.
  • Invite all, and try to insure that 6, of your guests attend a tour at one of the Clubs before the event.  The more guests who attend a tour in advance, the more successful the breakfast will be.
  • Mail or email the Save-the-Date info to each guest as the accept your invitation.
  • We'll be sending invitations to people in our database.  If you find that someone you invite has already RSVP'd to us, let us know, and we will seat them at your table.
  • Submit initial guest list to Maria by Monday, 1/23, and any final updates by Wednesday, 2/1.
  • Arrive between 6:30 and 6:50 on the day of the breakfast to pick up your Table Captain packet and greet your guests.
  • Wait to pass out the pledge cards until the speaker says it's time.
  • Please fill out your own pledge card at this time.
  • Collect completed pledge cards and envelopes from your guests and turn them in to Maria before you leave the breakfast.
  • Call your guests within 2 days to thank them for coming and get their impressions and feedback.
  • Pass on any helpful information from your calls to Maria or Kathi so we can follow up as needed.
